Information you provide
When you send an enquiry, we collect the contact and journey information you choose to provide. This may include your name, organisation or group, email address, telephone number, passenger count, origin, destination, travel dates, group type and additional travel requirements.
How we use it
We use this information to review your request, contact you about the enquiry, plan appropriate group travel options, prevent duplicate or abusive submissions, maintain an enquiry history and meet legitimate operational, security and legal requirements.
How your enquiry moves through KPS
Public enquiries enter a controlled KPS commercial intake process. An authorised employee reviews the request before it becomes operational work. Submitting an enquiry does not create a confirmed booking or financial commitment.
Service providers
KPS uses carefully selected service providers to operate website hosting, secure data storage and email delivery. They process information only as needed to provide those services and remain subject to their applicable contractual and security obligations.
Retention and protection
We apply access controls, audit measures and security safeguards appropriate to the information. Unqualified enquiries are generally reviewed for retention after approximately two years. Information connected to confirmed travel, contracts, financial records or legal obligations may require a longer period. Legal holds may override normal deletion schedules.
Your choices
You may ask us to correct your contact information or make a privacy request, subject to identity verification and applicable obligations. You may also ask us to stop contacting you about an unconverted enquiry.
